To keep WhatsApp and Instagram bookings from double-booking your stylists, every request has to go into one schedule split by stylist, with a set duration for each service. The problem is rarely the stylist. Usually one admin answers Instagram DMs on one phone and WhatsApp on another, and two customers end up with the same time slot with Rina. This article covers how to build a stylist schedule, set service durations, and decide when to ask for a deposit.
Why do stylist schedules keep clashing?
Look at how bookings come in at a small salon on a Saturday. At 9:12 an Instagram DM arrives: "Hi, can I get smoothing at 1 with Rina?" At 9:15 a WhatsApp message: "I'd like a haircut and creambath at 1:30, any stylist is fine." At 9:20 a regular customer messages Rina directly on her personal number.
That's three ways in and several people replying. Nobody holds the full schedule. Rina only notices the double booking when two customers are sitting in the waiting area at 1 p.m.
The most common causes:
- WhatsApp and Instagram chats are answered in different places.
- The schedule lives in a notebook or an internal WhatsApp group, and only gets updated once things calm down.
- Every service is treated as the same length, when smoothing can take 3 hours and a haircut 30 minutes.
- Stylists accept private bookings without telling the admin.
Bring WhatsApp and Instagram chats into one place
Before you pick a salon booking app, sort out where the chats come in. As long as Instagram DMs are answered on one phone and WhatsApp on another, the schedule will always lag behind the chats.
At the very least, pick one person to own the schedule during opening hours. Every other admin checks with them before confirming a time. It's slow, but safer than everyone confirming on their own.
A cleaner way is to use an inbox that combines WhatsApp and Instagram DMs, so every admin sees the same chats and the same schedule. For stylists who take private bookings, set a simple rule: they can accept them, but the slot only counts once it's in the salon schedule.
How to build a schedule for each stylist
Think of each stylist as having their own calendar. A salon with 4 stylists has 4 parallel schedules, not one big one.
What to write down for each stylist:
- Working days and days off. Example: Rina is off on Mondays, Dewi on Wednesdays.
- Working hours each day, including breaks. Example: 10:00 to 13:00 and 14:00 to 20:00.
- The services they do. Not every stylist does smoothing or coloring.
- Days the salon is closed, such as public holidays.
With this schedule, an admin can say "Rina is free on Saturday at 10:00 and 16:00" without having to ask Rina first.
Set a duration for each service
Clashes often happen because an admin writes down a start time with no end time. A smoothing customer booked at 13:00 won't be done until 16:00, but another admin puts a haircut customer with the same stylist at 14:00.
Make a list of standard durations. Example for a hair salon:
| Service | Example duration | Notes |
|---|---|---|
| Haircut | 30 to 45 minutes | Add 15 minutes if it includes a wash |
| Creambath | 60 minutes | Can be done by an assistant |
| Coloring | 2 to 3 hours | Depends on hair length |
| Smoothing / keratin | 3 to 4 hours | Morning or midday slots, not late afternoon |
These numbers are examples. Use the real durations at your salon, then add a 10 to 15 minute gap for cleanup. If a customer books two services, add up the durations before you offer a time.
When should a salon ask for a deposit?
A 30-minute service that gets canceled doesn't hurt much. A 3-hour smoothing canceled at the last minute means half of a stylist's working day sits empty.
Rules you can use:
- Services under 1 hour: no deposit.
- Services of 2 hours or more, or priced above Rp 500,000: deposit, for example 30%.
- Saturday and Sunday afternoon bookings: deposit for all long services.
- Canceled less than 24 hours before the appointment: the deposit is forfeited or used to rebook within 14 days.
A sample message after the customer picks a time:
Great, smoothing with Rina on Saturday at 10:00, should be done around 13:30. The price is Rp 650,000. To lock in the slot, please pay a Rp 200,000 deposit. If you can't make it, let us know by Friday at 10:00 so the deposit can go toward another date.
Collecting deposits works much the same in other booking businesses, and we cover it in how to collect booking deposits so customers don't cancel on you.
Sample replies when a favorite stylist is fully booked
Salon customers are often loyal to one stylist. If that stylist is full, don't stop at "sorry, fully booked." Give two options.
Rina is booked on Saturday until 17:00. You can choose Rina on Sunday at 11:00, or Dewi on Saturday at 13:00. Dewi does smoothing too. Which works better for you?
For customers who message outside opening hours:
Thanks for your message. The salon closed at 20:00. Could you tell us the service, the stylist you'd like, and which day suits you? We'll confirm your slot tomorrow at 10:00.
This keeps the customer feeling looked after. But they still have to wait until morning, and they might book at another salon in the meantime.
How cshub helps salons take bookings
cshub is built for businesses whose customers come in through chat, including salons and beauty clinics. Here's what matters for the stylist schedule problem:
- Chats from WhatsApp, Instagram DM, Facebook Messenger, and website live chat land in one inbox. All admins see the same conversations, and each admin's access can be limited by channel.
- Services can be set up as hourly booking products, with stylists as variants. Opening hours are set per variant: working hours, several slots per day, and closed days.
- Before a booking is saved, the system checks for clashes one more time. If two admins confirm the same slot at the same moment, only one of them goes through.
- The AI agent can check open slots and create appointments from chat. It understands relative times like "tomorrow" or "half past 12," and turns down times outside the stylist's schedule.
- Transactions can be partly paid, so the deposit is recorded and the rest is settled at the salon.
One thing isn't there yet: automatic appointment reminders the day before. For now, reminders are sent manually or through a broadcast. You can read more in solutions for clinics and salons and the appointment feature. You can try it free at account.cshub.id.
FAQ
What should I look for in a salon booking app?
Schedules per stylist, different durations per service, a clash check before a booking is saved, and deposit tracking. If many of your customers come from chat, make sure bookings can be made straight from WhatsApp and Instagram conversations.
Does online salon booking have to go through a website?
No. Many salon customers prefer to book by chat. What matters is that the schedule is kept in one place, wherever the booking comes from.
What if a stylist takes bookings on their personal number?
Make it a rule that a slot only counts once it's in the salon schedule. Stylists can answer the chat, but the time is still confirmed through the admin or the same system.
How much deposit is reasonable for salon services?
There's no fixed number. As a starting point, 30% for long or expensive services such as smoothing and coloring is enough for customers to take it seriously. Short services usually need no deposit.
How do I handle walk-in customers?
Put the walk-in on the stylist's schedule as soon as they sit down, so the chat admin doesn't sell the same slot. If you get walk-ins often, keep one slot open during busy hours.
